Terms & Conditions – The Church PT

These Terms & Conditions (“Terms”) apply to all clients and visitors of The Church PT (“the Studio”). By booking or attending sessions, treatments, or using our facilities, you agree to be bound by these Terms.
1. General Conduct

Clients must behave respectfully towards staff, therapists, and other clients at all times.

The Studio reserves the right to refuse entry or terminate sessions where behaviour is unsafe, inappropriate, or disruptive.

No smoking, alcohol, or illegal substances are permitted on the premises.
2. Bookings & Payments
-
All bookings must be made in advance via our booking system, reception, or directly with the trainer/therapist.

Payment is required at the time of booking unless otherwise agreed.
3. Cancellations, Rescheduling & Lateness
At The Church PT, we understand that schedules can change. To ensure fairness for both clients and trainers, we kindly ask that you follow our cancellation guidelines:

Cancellations or rearrangements made more than 24 hours before your scheduled session may be changed or cancelled at no charge. This can be done via the “My Bookings” section of your profile on our website.

Rescheduling within 24 hours of your session will be accepted where possible, subject to trainer availability.
If you feel you are unable to attend your session, please let us know as soon as possible via email so we can do our best to accommodate and manage scheduling fairly for all clients.

Cancellations made within 24 hours of your scheduled session are non-refundable, and the full session fee will be charged.

No-shows (where no notice is given, and the client does not attend) will result in the full session fee being due.
We appreciate your understanding and cooperation in respecting our trainers’ time and other clients who may be waiting for appointments.
4. Health & Safety

Clients must complete a health questionnaire and waiver before participating in any training, Pilates, or therapy sessions.

Clients are responsible for ensuring they are fit to participate. Any changes to health or medical conditions must be reported to staff prior to sessions.

The Studio accepts no liability for injury, loss, or damage, except where caused by the negligence of the Studio, its staff, or as otherwise required by law.

Clients must follow all safety instructions given by staff.
5. Use of Facilities

The Studio is located in a renovated church space; clients are asked to respect the building, equipment, and communal areas.

Food and drinks purchased outside may not be consumed in the reception or café areas.

Children under 16 on the premises must be supervised at all times.
-
Lockers and storage are provided at the client’s own risk; the Studio accepts no responsibility for lost or stolen belongings.
6. Café & Refreshments
-
Food and drinks served at the reception café may contain allergens. Clients must inform staff of any allergies before ordering.

The Studio is not liable for adverse reactions where allergies or intolerances have not been disclosed.
7. Therapies & Treatments
-
Reflexology, massage, and sports therapy treatments are carried out by qualified practitioners, who may operate as independent contractors.

The Studio is not liable for any claims arising from treatment, except where directly caused by the negligence of the Studio or as required by law.

Clients must disclose all relevant medical history before treatment.
8. Sessions & Packages

Sessions and prepaid packages are valid only for the duration specified at purchase.

Sessions cannot be shared or transferred to another person.
9. Data Protection & Privacy

The Studio complies with UK GDPR and Data Protection Act 2018.

Client information will be used only for the purposes of bookings, communication, and providing services.

Data will not be shared with third parties without consent, except where required by law.

10. Limitation of Liability

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded under UK law.

Subject to the above, the Studio is not responsible for:

Any loss or damage to personal property.

Any indirect or consequential losses.
-
Any injury or illness not caused by negligence.

11. Changes to Terms

The Studio reserves the right to update these Terms at any time. Clients will be notified of significant changes.

Continued use of our services after changes take effect constitutes acceptance of the revised Terms.
12. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
13. Discount Codes & Promotions
From time to time, The Church PT may offer promotional or discount codes for use on selected services, sessions, or products. The following conditions apply:

Discount codes must be entered at the time of booking and cannot be applied retrospectively.

Each discount code is valid only for the specific service(s) or promotion stated at the time of issue.

Discount codes used for services, sessions, or packages not covered by the promotion will be deemed invalid and will be cancelled.

The Studio reserves the right to withdraw, modify, or cancel any discount code or promotion at any time without notice.
